Leads vs. Opportunities vs. Activities

Overview

Matrix organizes your work around three things: Leads, Opportunities, and Activities. Knowing which is which (and which you are creating) keeps your pipeline clean and your reports accurate. This is the quick guide.


What each one is

  • Lead. An inbound inquiry you are still qualifying. Keep it a lead while you work out whether there is real revenue in the market.
  • Opportunity. A deal with revenue in the market: group rooms, a corporate rate (LNR), or an RFP. Convert a lead to an opportunity once you know there is business. See Converting a Lead to an Opportunity.
  • Activity. Something you did or need to do: a call, an email, a task, a follow-up. Activities live on the record they relate to and remind you through your dashboard. See Adding and Completing Activities.

Which am I creating?

  • New inquiry you have not qualified yet → Lead
  • Known deal or revenue in the market → Opportunity (convert the lead)
  • A task, note, or follow-up on a lead or opportunity → Activity

If you are ever unsure what a record you created actually is, check where it lives: leads sit on the Leads tab, opportunities on the boards, and activities on your Activity tab and on record timelines.


The rule that keeps your reports right

Always associate an activity with the opportunity (or lead) it belongs to, not just the shared account. Accounts are shared across all your hotels, so an activity tied only to an account cannot be attributed to a property, and it will not appear on property-specific reports.
