Coming from Another CRM: Terminology Map

Updated July 7, 2026

Overview

Matrix is probably not the first sales system your team has used. If you are coming from STS, Delphi, CI-TY, or another CRM, a few familiar words map to different names here. This page translates the terms that come up most often so the switch feels like a rename, not a re-learn.

The core mental shift

Most legacy systems organize work around "bookings" and "traces." Matrix organizes around opportunities and activities:

  • The deals you are working (group rooms, corporate rates, RFPs) are Opportunities.
  • The things you do and the follow-ups you schedule (calls, emails, tasks, reminders) are Activities.

Once that clicks, most other terms fall into place.

Two differences worth calling out

Accounts are shared across your portfolio. In Matrix an account exists once and is shared by every hotel in your subscription. What makes each hotel's business unique lives on the opportunity, not on a separate copy of the account. Search for an existing account before creating a new one.

Reminders live on your dashboard, not in your inbox. Where a legacy system may have emailed you every trace, Matrix surfaces your follow-ups on your Activity tab. See How Matrix Notifies You.
