Overview
Matrix sends contracts for electronic signature directly from the opportunity. You generate the contract, send it for signature with one click, and the signer signs electronically from an email. Matrix tracks the status the entire way, so you always know where the contract stands.
A contract only appears on the Documents tab once it has been drafted or sent. Before that, it lives in the generate-and-preview step below.
How to Send a Contract for Electronic Signature
- Open the Opportunity
- Click Actions > Generate Document
- Choose Document Type = Contract, choose the Template, and click Generate Document
- The generated contract opens in a preview. Click Send for Signature (top right)

The contract is sent to the signer for electronic signature. They receive an email to review and sign.

Track the Signature Status
Once sent, the contract appears on the Documents tab, where you can follow its progress:
- Status shows where it stands: Sent (awaiting signature), Counter Signature Pending (the client has signed and yours is outstanding), Signed (completed), Rejected (the signer declined), or Expired (the request lapsed before anyone signed)
- Tracking shows the events along the way
- Last Update shows when it last changed
Re-send or follow up from the Documents tab as needed.
Countersigning a Contract
Some contracts need a signature from your side as well. The client signs first, and the contract then sits at Counter Signature Pending until someone at the hotel counter-signs it.
You can countersign from the opportunity's Documents tab. You do not have to go and find the email Matrix sent you.
This is worth knowing when the email does not arrive. The signing link in that email used to be the only way in, so a contract the client had already signed could sit stuck because of a mail problem somewhere outside Matrix. Working from the Documents tab does not depend on email delivery at all.

Best Practices
- Confirm the signer's contact is correct on the opportunity before sending, so the signature request reaches the right person.
- Watch the status. A contract sitting in Sent for too long may need a nudge; a Rejected contract needs a conversation before you re-send.
