Overview
The Property Calendar in Matrix shows a visual view of scheduled client-facing meetings and sales activities. It is designed to give your team a quick read on what is coming up, both in terms of group arrivals and scheduled client interactions.
What Shows on the Calendar
The calendar displays three types of content:
1. Group Opportunities (all stages, color-coded and filterable) Group Opportunities appear as date-range blocks spanning the dates in their Guestroom Grid, color-coded by stage. The legend has filter checkboxes for Closed, Definite, Tentative, and Prospect, all on by default. Uncheck a stage to hide those opportunities. This gives your operations and sales team visibility into arriving and pipeline groups.
2. Event / Meeting Space Bookings Function space and meeting room bookings associated with Opportunities also appear on the calendar, giving you a view of event space utilization alongside your group rooms.
3. Client Meeting Activities Only activities with the type Client Meeting appear on the calendar. No other activity type, including calls, emails, tasks, or other, will show here.
This is the most commonly misunderstood rule in Matrix. If an activity does not appear on the calendar, check that it is logged as a Client Meeting activity type.
How to Add Something to the Calendar
If you want a meeting or appointment to appear on the Property Calendar, create it as an activity and set the type to Client Meeting.
This works for:
- Meetings with prospective or current group clients
- Internal sales meetings you want to track on the calendar
- GM meetings or leadership touchpoints you want visible in the sales schedule
Steps:
- Navigate to the relevant Lead, Opportunity, or Account
- Create a new Activity
- Set the Activity Type to Client Meeting
- Set the scheduled date and time
- Associate the relevant Contact if applicable
- Save
The activity will appear on the Property Calendar on the scheduled date.
What Does Not Appear on the Calendar
- Emails
- Phone calls
- Tasks or to-dos
- Any activity type other than Client Meeting
- Accounts or Contacts with no associated Opportunity or activity
Tip: opportunities of every stage are shown by default. If your calendar looks crowded, use the Closed / Definite / Tentative / Prospect checkboxes in the legend to filter down to the stages you care about.
