Overview
When you book an event into a function space that another event already holds at the same time, Matrix flags it. The alert shows on the opportunity's Events tab, in New Event Entry while you fill it in, and on the Dashboard Calendar, so a clash gets caught before a contract goes out.
The alert is a warning, not a block. Matrix still lets you save, so it is up to you to change the time or the space, or to confirm the overlap is intended.
What Counts as a Double Booking
Two events clash when they are in the same function space, on the same date, and their times overlap. An event that ends exactly when the next one starts is not a clash.
The check covers opportunities at Prospect, Tentative, Definite and Closed. Lost and archived opportunities never trigger it. Two events on the same opportunity can clash with each other too.
Divisible rooms are not linked. If your ballroom is set up as one function space for the full room and separate ones for its sections, booking a section does not flag the full room, or the other way round. Only bookings in the exact same function space are compared.
Where You See It
On the Events Tab
Open the opportunity and go to Events. A row that clashes gets a red icon in front of Function Space, a light red background, and a red bar down its left edge. The alert appears as soon as the page loads, and it updates while you edit, before you save.
Hover over or tab to the icon to see what it clashes with. It names the space, the time and date, and the other opportunity, for example:
Ballroom is already booked 09:00 - 12:00 on 10/14/2026. Opportunity: Smith Wedding
If there is more than one clash, each one is listed. The other opportunity is named but not linked, so search for it if you need to open it.
In New Event Entry
You do not have to finish the entry to find out. As soon as you choose the Event Dates and a Function Space, the New Event Entry box turns red if that space already has anything booked that day. Until both times are in, Matrix treats the new event as lasting all day.
Enter the start and end times and the check narrows to real overlap. If your times are clear of the existing booking, the warning goes away.
On the Dashboard Calendar
On the Calendar tab of your dashboard, event chips that clash carry the same red icon, in month view, week view and by Function Space. Hovering over it shows "Function space already booked during this time".
The calendar works a little differently from the Events tab:
- It only checks the opportunities it is showing, so anything your stage filters hide is not checked. Lost opportunities are never checked.
- A saved event with no times counts as clashing with anything else in that space on that day.
- The icon does not say what it clashes with. Click the chip to open that event's opportunity, then look at its Events tab for the details.
See What Appears on the Property Calendar for the rest of the calendar.
FAQ
Can I dismiss the warning? No. It clears once the events no longer overlap, for example after you change a time or the function space.
Does it stop me saving? No. It is a warning only.
Why does the calendar flag something the Events tab does not, or the other way round? They apply slightly different rules, described under On the Dashboard Calendar above. For the full picture of a clash, including the other opportunity's name and the exact times, use the Events tab.
Does it check bookings at my other hotels? No. Every function space belongs to one property, so only bookings at the same hotel are compared.
