How to Make an Activity Property-Specific

Overview

Property-specific reports in Matrix (including The Sales Readout) only count activities that are tied to something at the property level. If your activity is not showing up for a property, it is almost always because it is not associated to a property-level record.

The rule: property-specific reports only display items associated to a Lead or an Opportunity. Accounts sit above property level, so an activity associated only to an Account will not roll up to a property.


How to Make an Activity Property-Specific

  1. Open the activity (or start a new one)
  2. In the activity, set the Opportunities or Lead association to the relevant record. That record belongs to a property, which makes the activity property-specific.
  3. Associate the Contact if there was interaction with a specific person
  4. Save

Once the activity is tied to a Lead or Opportunity, it will appear in that property's reports.


Common Mistake

Associating only to an Account. Accounts and Contacts are shared across all hotels in your subscription, so they have no single property. An activity linked only to an Account has no property to report against. Always link the activity to the Opportunity or Lead it relates to.


Best Practice

When you log an activity about a known Opportunity, associate it to both the Opportunity and the Contact. This keeps your reporting accurate at the property level and preserves the relationship history on the Contact.
