What Is Lead Agent?
Lead Agent is an AI-powered feature in Matrix that automatically captures incoming leads and creates Lead records for you. No manual data entry required.
Lead Agent monitors a dedicated email address assigned to each of your properties. When a lead email arrives at that address, the AI reads it, extracts the relevant details, and creates a Lead record in Matrix with the information populated. All original links from the source platform (OneSource, MeetingBroker, etc.) are preserved in the lead record so you can click through and respond directly.
Your Lead Agent email address is already active for every property. The setup below points your lead sources at it so leads flow in automatically.
Find Your Lead Agent Email
Each property has its own Lead Agent email address. Here is where to find it and copy it:
- Open the Leads page in Matrix.
- In the property selector at the top right, choose the property you want. The address is specific to each property, so it stays hidden while you are on the Global view.
- Find the Lead Agent Email card near the top of the Leads page. It shows that property's address, for example
leads-ardalga@m1intel.co. Click the copy icon next to it to copy the full address.
⚠️ Important: the domain is
.co, not.com. Copying the address straight from the card avoids typos. If you ever type it by hand, double-check the ending, because an address that ends in.comwill not reach Lead Agent.
How Leads Get Into Matrix
There are two ways leads flow in through Lead Agent:
Automatic (Recommended) Configure your lead source platforms to include the Lead Agent email address in their distribution. Once set up, leads flow into Matrix automatically without anyone having to forward anything. This is the most reliable method and removes all manual steps from the process.
Manual Forwarding Forward any lead email directly to your Lead Agent email address. If the email does not already contain language indicating it is a new lead, include the words "new lead" somewhere in the subject or body. The AI will read the email and create the lead record.
Setup: Automatic Lead Flow
To get full automation working, you need to complete two steps before configuring your lead platforms.
Step 1: Create an Email Distribution List
Create an email distribution list (d-list) within your company email domain. This d-list acts as the central lead receiver across all platforms.
Add the following to the d-list:
- Your Lead Agent email address (copy it from the Leads page, as shown above)
- Any team members who should also receive lead emails directly in their inbox
Using a d-list gives your team flexibility. Members continue receiving leads in their own inbox while Matrix captures them automatically. You only need to update one email address across all platforms, and adding or removing team members is simple.
Step 2: Verify Your Default Lead Assignee
In Matrix, go to Properties > User Assignments and confirm the Matrix Default Lead Assignee (MDLA) is set correctly for each property. This is the person who will be assigned all incoming leads and receive the new lead alert email.
Leads can be re-assigned to a different seller in Matrix at any time. The new assignee will receive the new lead alert automatically.
Platform Configuration
Marriott OneSource
OneSource controls lead routing for Marriott properties. Cvent leads for Marriott properties also route through OneSource, so if you configure OneSource, Cvent is already covered.
Prerequisites:
- An EID (Enterprise ID) associated with your email distribution list
- That EID must have OneSource access
Steps:
- Open CI-SFAWeb-OneSource via your Island browser
- Click the Globe icon in the top right corner
- Navigate to Property > My Properties
- Scroll all the way to the right to find lead assignments and update the following to your d-list:
- Internet Response
- Response Manager
- EM/Turnover Catcher
Hilton MeetingBroker
MeetingBroker manages lead distribution for Hilton properties. Cvent leads for Hilton properties also route through MeetingBroker, so if you configure MeetingBroker, Cvent is already covered. For a focused walkthrough, see the Meeting Broker Lead-Catcher Quickstart.
Steps:
- Navigate to Administration
- Select your Location
- Set the Default Lead Coordinator to your Lead Agent email (or a distribution list that includes it)
Engine Partner Hub
Steps:
- Select Property
- Navigate to Groups > Manage lead catchers
- Set the lead catcher to your d-list (or directly to the Lead Agent email)
Note on duplicate emails: If you receive Engine leads in your inbox twice, you are likely on the sales d-list AND have individually opted into lead notifications in your Engine account settings. To fix this, click your profile icon > Account Settings > Notification Settings and toggle off "Open RFPs."
Cvent
- Marriott properties: Covered by OneSource configuration above
- Hilton properties: Covered by MeetingBroker configuration above
- All other properties: Set the Cvent Lead Catcher to your d-list
Other Lead Sources
Any lead source can feed into Matrix through Lead Agent by either:
- Setting the lead catcher to your d-list or directly to the Lead Agent email, or
- Manually forwarding lead emails to the Lead Agent email and including "new lead" in the subject or body if not already present
Best Practices
Use a distribution list, not the Lead Agent email alone. Routing through a d-list means your team still receives lead emails in their inbox while Matrix captures them simultaneously. It also gives you one central address to update across all platforms if anything changes.
Confirm your MDLA before going live. Leads will be assigned to whoever is set as the Matrix Default Lead Assignee for each property. Review this under Properties > User Assignments before enabling automatic flow.
Re-assign leads promptly in Matrix. If a lead should go to a different seller, re-assign it in Matrix right away. The new assignee is notified automatically and the lead history stays intact.
Respond through the original platform. Lead Agent handles data entry. It gets the lead into Matrix so your team does not have to enter it manually. You still respond to the client as you normally would. All original platform links (OneSource, MeetingBroker, etc.) are preserved in the Matrix lead record for one-click access.
Keep an eye on your first few leads. AI is reading and parsing the lead emails, and it is getting better all the time. When you first go live, review a few incoming leads to make sure everything is populating correctly. If something does not look right, let us know. Your feedback helps improve accuracy for everyone.
Frequently Asked Questions
Do I still need to respond to leads through the original platform? Yes. Lead Agent gets the lead into Matrix. It does not replace your response workflow. All original links are preserved in the Matrix lead record so you can click through and respond as you normally would, then manage the full lead lifecycle in Matrix.
What if a lead does not come through correctly? AI is reading and parsing the lead emails and it is getting better with each lead. If something does not look right, let us know. Your feedback helps improve accuracy for everyone.
Can I change the Default Lead Assignee? Yes. Go to Properties > User Assignments in Matrix and update the Matrix Default Lead Assignee for any property at any time.

What does including "new lead" do when forwarding manually?
