Overview
Your Leads tab is the front door to new business. A healthy Leads tab means leads are moving, nothing is going stale, and every lead has a clear next step. Matrix gives you built-in health indicators at the top of the Leads page to keep you honest.
Read Your Lead Health Indicators
At the top of the Leads page, Matrix shows live counts you should check regularly:
- Active Leads: leads in New or Contacted status. These should be moving through qualification, not sitting.
- Stale Leads: leads with no completed activity in the last 10 days. A growing Stale count means leads are being forgotten.
- No Future Trace: leads with no next activity scheduled. Every lead should have a traced next step.
- Avg Response Time: how long it takes from lead creation to your first completed activity. Lower is better.
Habits That Keep the Tab Healthy
Always trace a next step. Before you leave a lead, add a future activity. This keeps it out of the No Future Trace list and ensures it resurfaces when it needs attention.
Work leads quickly. Speed to first response wins business. Watch your Avg Response Time and aim to act on new leads the same day.
Keep leads in Lead status while qualifying. A lead should stay a Lead while you are confirming there is real revenue in the market. Once you confirm revenue, convert it to an Opportunity.
Reassign what is not yours. If a lead lands on the wrong person, reassign it to the right seller in Matrix. The new assignee is notified automatically.
Clear the Stale list. Make a habit of reviewing Stale Leads weekly. Complete an activity, trace a next step, or close out leads that are truly dead.
Let Lead Agent do the data entry. Each property has a Lead Agent inbound email (shown on the Leads page). Set it as the lead catcher on your booking platforms so new leads are captured automatically.
