Getting Your Property Fully Set Up

Overview

Setting up a property in Matrix means completing the property profile so that rates, contracts, reports, and incoming leads all work correctly. Matrix organizes setup into a numbered set of tabs. Open Properties in the left sidebar, select your property, and work through the tabs in order.

Complete every tab before going live. In particular, set the Matrix Default Lead Assignee (MDLA) before you enable Lead Agent, so incoming leads always have an owner.


The Setup Tabs

Under Properties > [your property], you will see these steps:

  1. Property: core profile: property name, address, chain, Property Code, timezone, default currency and date format, contact details, and portfolio. This tab also holds the Property Information section, covered below.
  2. Rooms & Tiers: your room types and the length-of-stay tiers used for negotiated (LNR) rates.
  3. Function Space: your meeting and event spaces, used for group events and BEOs.
  4. Taxes & Fees: the taxes and fees that apply, so quotes and contracts calculate correctly.
  5. User Assignments: assign users to the property, set their roles, and choose the Matrix Default Lead Assignee (MDLA). Weekly goals are set per user, under Users > [user] > Goals.
  6. Inventory: your room inventory.
  7. Integrations: connect your data enrichment providers (see How to Generate a ZoomInfo API Key for Matrix) and, if you collect cards through Sertifi, your Sertifi account (see CC Authorization Forms).

Property Information

At the bottom of the Property tab, the Property Information section collects the public web addresses for your hotel:

  • Hotel Website, your property's own site
  • Tripadvisor URL
  • A + button to add up to ten more property URLs, on top of those two

Add your brand site, your property-owned site, your Tripadvisor listing, your CVB page, and any OTA listings. Three or more is a good target. Once you have added ten extra URLs the + button disappears, which is the limit rather than a fault.

These addresses are used to build a profile of your hotel that supports prospecting and research. The more complete and accurate they are, the better that profile is.

Best Practices

Set the MDLA first. If a lead arrives before the MDLA is set, it may not be assigned to anyone. Configure it for every property before enabling Lead Agent.

Keep User Assignments current. When staff change, update who is assigned to the property and who holds the MDLA, so leads and reporting stay with the right people.

Fill in Property Information properly. It takes a few minutes once and improves the quality of prospecting and research for that hotel from then on.

Finish Taxes & Fees before quoting. Accurate taxes and fees keep your contracts and rate quotes correct from day one.
