Finding Contacts with Data Enrichment (Apollo & ZoomInfo)

Overview

Matrix can look up contacts at a company through your data provider, so you are not building an account's contact list from nothing. It searches the provider, shows you who works there, and pulls the people you choose into Matrix.

Before You Start

A provider has to be connected for the property you want to enrich through. Both are set up under Properties > Integrations, step 7 of property setup:

  • ZoomInfo takes a Client ID and Client Secret
  • Apollo takes a single API Key

Each card has a Test Connection button and a status dot. If enrichment finds nothing at all, check there first, because an unconfigured or stale credential looks the same as an empty result.


What It Costs

Nothing until you click Apply.

Matrix shows a running counter on the review screen reading "Will use N credit(s) on apply", and above the contact list it states "Each selected contact uses 1 credit when applied." Searching for the company, picking it, filtering by title, and reading through the discovered contacts all leave that counter at zero. Only the contacts you select and apply are charged.

Contact names are partly hidden until you apply, showing as something like Keith Ro***s. You get the first name, the title, and whether the person already exists in Matrix, which is enough to decide who is worth a credit.


Running an Enrichment

1. Open the Account and click Enrich. The button sits at the top of the account panel.

2. Choose which provider connection to use. Matrix lists one entry per property that has a provider configured, reading like Apollo.io via [property name]. Accounts are shared across all your hotels while provider credentials belong to a property, so this is where you pick whose credits pay for the lookup.

3. Find the company. Matrix pre-fills the account name and searches your provider for it. Add a City or State if the name is common, then click Go. Pick the right company from the results.

Choose a candidate that shows a domain underneath it. Entries with no domain cannot be used, and selecting one returns "That candidate has no usable domain, pick another".

4. Review what came back. The review screen has two halves: proposed updates to the account record itself, and the contacts found at that company.


Updating the Account Record

The top half compares what Matrix holds against what the provider returned, grouped into Identity, Profile, and Address. Each row is marked Empty to Fill where Matrix has nothing, or Change where the two differ, so you can see exactly what would be overwritten.

Three controls act on all of it: Accept all from [provider], Accept differences, and Reject all. You can also click an individual row to take just that value. The Apply button counts what you have accepted, for example Apply 4 changes.


Finding the Right Contacts

The lower half lists the people found at that company, with a count like 25 of 590 found and a Load more control. The list is paged, so what you see first is a slice rather than everyone.

Search by name or title. The search box narrows the list. Use it rather than paging through hundreds of people.

Use the title chips for the roles hotel sales teams look for most:

  • Travel
  • Training
  • Event
  • Hiring
  • Office Manager
  • Executive Assistant
  • Meeting

Chips add up rather than swap. Turning on Travel and then Training searches for both at once. Each chip is a toggle, so click it again to turn it off, and Clear resets them. The chips are separate from the search box, so emptying the box does not switch them off.

Select the contacts you want, then click Apply. Each selected contact costs one credit.


Troubleshooting

Partial words find nothing. The search matches whole words. Searching President returns results while Presiden returns none, because the shortened word is not in anyone's title. Type the full word, or use a shorter word that appears on its own.

"That candidate has no usable domain." The company you picked has no website attached at the provider. Go back and choose a candidate that shows a domain.

No contacts at all. Confirm the provider is connected for that property under Properties > Integrations, and that Test Connection succeeds. An expired credential looks exactly like a company with no staff listed.

A name you expect is missing. The list is paged and shows a slice at a time. Search for the person by name or title instead of scrolling, and use Load more to go further.
