User Roles & Permissions

Overview

Matrix uses role-based access control to determine what each user can see and do within the platform. Roles are assigned per user when they are added to a property. A user can have different roles at different properties within the same subscription.

There are five roles in Matrix:

  1. Subscription Admin: full access to everything across the entire subscription
  2. Property Admin: full access to property data with the exception of user management and templates
  3. Leads: limited access for users who only need to receive and work incoming leads
  4. Property User: the standard role for salespeople; full read/write access to sales data without admin permissions, and can delete their own activities
  5. Viewer: read-only access across all resources; cannot create, edit, or delete anything

Role Descriptions

Subscription Admin

The Subscription Admin has full Read, Write, and Delete access to every resource across the entire subscription, including Users, Properties, and Templates. This role is appropriate for the account owner or the person responsible for managing the Matrix subscription across all properties.

There should be a limited number of Subscription Admins. This role can add and remove users, modify properties, and delete records.

Property Admin

The Property Admin has full Read, Write, and Delete access to all core sales resources (Leads, Dashboard, Accounts, Contacts, Opportunities, Activities, Reports, Properties) but cannot manage Users or Templates. This role is well-suited for a Director of Sales, Regional Sales Manager, or anyone responsible for overseeing a property's sales operation without needing subscription-level control.

Leads

The Leads role is a limited access role designed for users whose primary function is receiving and working incoming leads. They have Read/Write access to Leads, Contacts, and Activities, and can view the Dashboard, but cannot access Accounts, Opportunities, Reports, Properties, or Templates, and have no Delete permissions on anything.

This role is appropriate for a lead coordinator or anyone who manages initial lead intake but does not manage the full sales pipeline.

Property User

Property User is the standard role for salespeople. They have full Read/Write access to Leads, Dashboard, Accounts, Contacts, Opportunities, and Activities. They can view Reports but cannot modify them. They have no access to Users, Properties, or Templates. The one thing they can delete is their own activities, one at a time. They cannot delete leads, accounts, contacts, or opportunities.

This is the most common role for members of a hotel sales team.

Viewer

The Viewer role provides read-only access across all resources, including Leads, Dashboard, Accounts, Contacts, Opportunities, Activities, Reports, Users, Properties, and Templates. Viewers cannot create, edit, or delete anything in Matrix.

This role is appropriate for revenue managers, ownership, or any stakeholder who needs visibility into the sales pipeline without the ability to modify data.


How to Assign Roles

Roles are assigned when a user is added to Matrix and can be updated at any time.

  1. Go to Properties in the left sidebar
  2. Select the property you want to manage
  3. Navigate to User Assignments
  4. Add or locate the user
  5. Set their role from the available options
  6. Save

A user's role can differ by property. For example, a user might be a Property Admin at one hotel and a Property User at another within the same subscription.
