Overview
Two views give you the group picture for a property: Group Rooms Pace and Group Rooms & Events Control. Both are tabs on the Group Board, and both are also linked from the Reports page (where the second one is listed as "Group Rooms And Events Report").
⚠️ Both are property-level views. On the Global view, Pace tells you "Please select a property first". Choose a single property before opening either one.
Group Rooms Pace
Pace answers "are we ahead of where we were last year?" It compares what is on the books now against the same time last year (STLY).
The table shows ROOMS, ADR, and REVENUE. Each of those gives you the current period, the same period last year, and the Var to STLY difference. Rooms and Revenue also show LY Actuals. Rows are broken out by month and split into Definite and Tentative.
Above the table, a chart plots revenue as bars and room nights as lines, with separate series for Definite, Definite (STLY), Tentative, and Tentative (STLY).
By default it covers the next 6 months, stages Definite and Tentative, and all group types. Within each month, stages keep the same order (Prospect, Tentative, Definite), so months are easy to compare. You can change that in Filters, and download the view as SVG, PNG, or CSV.
Group Rooms & Events Control
This is our version of the traditional GRC. It rolls your groups up across a date window so you can see what is committed at the property, rooms and events together.
What it includes by default. Groups at Prospect, Tentative and Definite. Ticking Definite also brings in Closed groups, which still get their own Closed section in the report. Lost is off unless you tick it.
Filters. Open Filters to set:
- Date Range, which drives both the rooms and the events tables. It opens on today through the next 60 days, with presets from Last 30 Days to Next 12 Months, including This Year
- Booked Date, to see only groups booked in a period. It is empty by default
- Stage, Group Type and Assignee
- Rooms and Events checkboxes, which choose which tables show. Both are on by default
- Reset All to clear everything
The filters you have applied show as chips above the report.
The rooms table. One row per group, with Arrival and Departure, the dates the group was Booked and Blocked, the Cut Off, the rooming list, deposit and CC authorization dates, pickup Performance against blocked rooms and against forecast, ADR and Revenue, then one column per date showing pickup over blocked rooms. Groups are grouped into collapsible stage sections, each headed with its count, for example DEFINITE (3). Four tiles across the top total Pickup / Blocked, ADR, Revenue and Groups.
A stay that runs past the end of your range shows …→ on its last visible date, and one that began before the range shows ←… on its first. Hover either for the explanation.
The Monthly Summary. When your range touches two or more calendar months and includes at least one Definite or Closed night, a Monthly Summary appears, broken out by group type. Each cell shows pickup against blocked, the pickup percentage, ADR and revenue for that month. Rooms has to be ticked for it to show.
The events table. Event revenue is broken into Room Rental, Food, Beverage, Equipment, Other and Service Charge, before tax. A line at zero reads Comp. Use Sort to order events by Stage or by Function Space.
Key takeaway
Use Pace to answer "are we ahead of last year", and Group Rooms & Events Control to answer "what do we actually have on the books". Set your scope to a single property first or neither will load.
